OJS 3 User's Guide: Workflow Settings

Overview

 

This section is useful for ensuring all of the user's submission components are present and that they are in the order that they prefer.

 

 

 

 

Sections You Can Configure

  • Components (Any file that is a part of an author’s submission)
    • Examples: text of an article, images, data, interview transcripts, etc.
    • You can ADD and ORDER these components as you wish by clicking the corresponding action word in the right hand corner under “Help”
      • As you ADD components, you can EDIT or DELETE them by clicking the blue drop down arrow to the left of the component name
    • RESTORE DEFAULTS is also an option if you want to remove all of the modifications
  • Submission
    • In this section, one can configure various submission settings. This helps ensure submissions are consistent
    • Parts:
      • Author Guidelines: Recommend guidelines to authors as to how to they should format their submission and citations. Perhaps provide commonly used bibliographic examples
      • Submission Preparation Checklist: This section is to ensure that authors comply to the policies of the journal. There is a default checklist, but one may edit, delete, or add new items to the checklist.
      • Submission Metadata: Check which metadata fields to use for your journal. Each entry varies for every article in your journal
  • Review
    • In this section, one can configure their journal review processes such as DEADLINES, GUIDELINES, etc. This section helps you manage the expectations of authors and reviewers.
    • Parts:
      • Default Review Deadlines: Here, users are able to modify the amount of weeks allowed to complete a review
      • Automated Email Reminders: Users can set up automated email reminders that send to reviewers who have not responded to their requests within a certain number of days (you can set the number of days). This feature is important considering the review process is often very long and this could potentially speed it up.
      • Review Forms: Users can create or upload Review Forms for the reviewers to fill out while analyzing the given article. This could help focus the reviewers’ feedback to editors.
      • Review Guidelines: In this section, users type out the criteria for reviewers’ feedback. This features explicitly helps to lay out the expectations of the reviewer.

  • Publisher Library - You can store important documents of workflow/publishing process and share them with your editorial team

  • Emails - Standard email templates that you can send to authors in regards to citing your journal. These templates are customizable.
